Carer Training & Certificates
The Carer Training module lets administrators track training certificates, qualifications, and expiry dates for all wildlife rehabilitation carers in their organisation.
Overview
Keeping training records current is a core part of wildlife rehabilitation compliance. This module provides a centralised place to record every course a carer has completed, attach certificate documentation, and monitor when certifications are due for renewal. The system automatically flags expired and soon-to-expire certificates so nothing slips through the cracks.
You can access the Training Certificates page from Compliance > Carers > Training.
Training Record Fields
Each training record captures the following information:

| Completion Date | Yes | The date the carer completed the training |
| Expiry Date | No | When the certification expires, if applicable |
| Certificate URL | No | A link to the certificate document for easy reference |
| Certificate Number | No | The certificate ID or reference number issued by the training provider |
| Training Type | No | Categorises the training -- see Training Types below |
| Training Hours | No | Duration of the training in hours |
| Notes | No | Free-text field for any additional context |
Training Types
Training records can be categorised into one of three types to help with filtering and reporting:

|---|---|
| Mandatory | Core training that every carer must complete to hold their licence, such as basic wildlife handling or first aid |
| Specialist | Additional qualifications for handling specific species or situations (e.g., venomous snake handling, raptor rehabilitation) |
| Refresher | Renewal courses that update or re-certify previously completed training |
Setting a training type is optional but recommended, as it makes it easier to verify that all carers have met their mandatory training requirements.
Expiry Tracking and Alerts
Status Badges
Every training record with an expiry date is automatically assigned a status badge in the training table:

| Valid | Green | The certificate is current and not due for renewal soon |
| Expiring Soon | Yellow | The certificate will expire within the next 30 days |
| Expired | Red | The certificate has passed its expiry date and needs renewal |
| No Expiry | Grey | No expiry date was set for this training record |
Dashboard Summary Cards
At the top of the training page, three summary cards give you an instant overview:
- Expired Certificates -- the total count of certificates that have passed their expiry date, highlighted in red
- Expiring Soon (30 days) -- the number of certificates due for renewal within the next 30 days, highlighted in yellow
- Total Certificates -- the overall count of training records across all carers
Certificate Alert System
The training module works together with the Compliance Readiness Checklist to surface certificate issues on the admin dashboard. Specifically, the checklist evaluates two training-related checks:
- Training records -- verifies that all carers have at least one training record on file
- Expired certifications -- flags any certifications that have passed their expiry date
When either check fails, the Compliance Readiness Checklist displays a warning with a direct link to the training management page so the issue can be resolved quickly. This means administrators are alerted to training gaps even if they have not visited the training page recently.
Filtering Records
The training table supports two filters that can be combined:
- Filter by Carer -- narrow the list to show only a specific carer's training records
- Filter by Status -- show only records with a particular expiry status (Expired, Expiring Soon, or Valid)
These filters are useful when reviewing a single carer's qualifications ahead of an audit, or when triaging all expired certificates across the organisation.
Managing Certificates
Adding a Certificate
- Click the Add Training Certificate button
- Select the carer from the dropdown list
- Fill in the course name and completion date (required), plus any optional fields
- Click Save Certificate
Editing a Certificate
- Click the pencil icon on the training record row
- Update the relevant fields (the carer cannot be changed after creation)
- Click Update Certificate
Deleting a Certificate
- Click the bin icon on the training record row
- Confirm the deletion in the dialog that appears
Note that deleting a training record is permanent and cannot be undone. All changes to training records are captured in the Audit Log.
