Hygiene Logs

The Hygiene Logs module provides a structured way to record daily cleaning and biosecurity compliance for your wildlife rehabilitation facility. Each log entry captures whether key hygiene protocols were followed, calculates a compliance score automatically, and stores the record for future audits.

Overview

Wildlife rehabilitation facilities in the ACT and NSW are required to maintain daily hygiene and biosecurity records under Section 5.2.x of the relevant codes of practice. WildTrack360 makes this straightforward by giving carers a simple checklist-based form that tracks the essentials -- enclosure cleaning, PPE usage, handwashing, feeding bowl disinfection, and quarantine signage -- and rolls them up into a single compliance score.

The module sits under Compliance > Daily Hygiene & Biosecurity Log in the main navigation.

Hygiene Checklist Fields

Every log entry includes five required hygiene checks. These are the fields that feed into the compliance score calculation.

Biosecurity Protocols

In addition to the core hygiene checks, each log entry includes a set of supplementary biosecurity protocol confirmations. At least three of these must be selected for the entry to pass validation.

Compliance Scoring

The compliance score is calculated automatically from the five core hygiene checks. Each check contributes equally (20% each), so the score ranges from 0% to 100%.

The compliance score badge updates in real time as you toggle the checklist items on the new entry form, so you can see your status before saving.

Creating a New Log Entry

To create a new hygiene log entry:

  1. Navigate to Compliance > Daily Hygiene & Biosecurity Log.
  2. Click the New Log Entry button.
  3. Select the date (defaults to today) and choose the responsible carer from the dropdown.
  4. Work through the Required Hygiene Checks section, ticking each item that was completed.
  5. In the Biosecurity Protocols section, select at least three protocols that were followed.
  6. Optionally add any notes -- for example, if an item could not be completed and why.
  7. Click Save Hygiene Log.

The form validates all required fields before saving. If any required hygiene check is unchecked, the form will display a warning but still allow you to save the entry (the compliance score will reflect the gap). However, you must select a carer, provide a date, and tick at least three biosecurity protocols for the entry to be accepted.

After saving, you are returned to the main hygiene log list where the new entry appears at the top.

Viewing and Editing Logs

The main hygiene log page displays all entries in a table with the following columns:

  • Date -- when the check was performed
  • Carer -- who performed it
  • Enclosure Cleaned / PPE Used / Handwash Available / Bowls Disinfected / Quarantine Signs -- green check or red cross for each item
  • Compliance Score -- colour-coded badge (green for compliant, amber for mostly compliant, red for non-compliant)
  • Actions -- a View button to open the full log detail

Click View on any row to see the complete log entry, including notes and biosecurity protocol selections.

Photo Attachments

The hygiene log data model supports photo attachments for evidence-based record keeping. This allows carers to attach photos of cleaned enclosures, PPE in use, or any issues discovered during the hygiene check. Photos are stored as part of the log entry and are available when viewing the log detail or generating compliance reports.

Today's Compliance Summary

The bottom of the hygiene log page includes a Today's Compliance Summary panel with two sections:

  • Today's Entries -- lists all log entries submitted for the current date, showing the carer name, notes, and compliance score for each.
  • Weekly Compliance Trend -- a visual breakdown by day of the week, showing the average compliance score for each day as a progress bar. This helps identify patterns -- for example, if compliance tends to drop on weekends.

Exporting Data

Hygiene logs can be exported in two formats for reporting and audit purposes:

Compliance Value (ACT and NSW)

Maintaining daily hygiene logs directly supports your obligations under both ACT and NSW wildlife rehabilitation codes of practice:

  • Section 5.2.x of the relevant codes requires daily cleaning and biosecurity protocols to be documented.
  • Quarantine requirements mandate that new animals are isolated for a minimum of 14 days, with appropriate signage -- the quarantine signs check covers this.
  • Biosecurity audits require evidence of daily protocols. Exported PDF reports serve as audit-ready documentation.
  • Disease prevention protocols, including separate equipment for different species and proper waste management, are captured through the biosecurity protocol checklist.

The jurisdiction badge on the new entry form indicates which set of requirements applies to your organisation, based on your configured jurisdiction (ACT or NSW).
